President Leads the PTA and presides over all meetings. Sets the vision for the year, coordinates with the school principal, and works closely with the Treasurer to establish the budget. Ensures the organization runs smoothly and serves as the primary representative of the PTA to the school and community. Approves expenses before payment and has check-signing authority. This is a 3-year leadership arc: serve as EVP, then President, then Parliamentarian.

Treasurer Manages the PTA's finances, including budgeting, tracking expenses, and processing reimbursements. Issues checks after approval from the President and Secretary. Provides financial reports at general meetings and ensures compliance with nonprofit financial requirements.

Secretary Records and distributes minutes for all board and general meetings. Approves expenses before payment.

Executive VP Supports the President and steps in when needed. Coordinates between committees, helps recruit volunteers, and assists with overall PTA operations. Has check-signing authority. Convenes the nominating committee, which is responsible for filling board and committee positions for the upcoming year. This role is the first year of a 3-year leadership arc, preparing to serve as President the following year.

VP Technology Manages the PTA's Google Group emails and ensures digital tools run smoothly. Consults on tech purchases for the district and is called upon when PTA systems need updating.

VP Communications Works closely with the President to manage PTA communications. Committees create and submit their own announcements; VP Communications reviews submissions to ensure necessary details are included and oversees the timing and cadence of outreach, ensuring families receive the right information through the appropriate channels without being overwhelmed. Curates announcements for the Thursday Word, sends emails, and manages social media. Maintains the web calendar and keeps the marquee board at the front of school updated. May also oversee printing of banners or flyers to advertise events.

VP Membership Maintains the list of PTA members and ensures all board officers and committee chairs have joined. Welcomes new families to the PTA and sends notices for PTA General Meetings. Also manages the spirit wear store.

Financial Secretary Handles all incoming money and logs it in QuickBooks. Processes donations, tracks income, and manages deposit logistics. Sends donor acknowledgment letters upon request.

Historian Maintains a database of responsibilities for each board member and committee chair. Reaches out to committee chairs at the beginning of the year to distribute relevant documents, before event planning begins, and after events conclude to capture any updates needed. Keeps a year-over-year spreadsheet tracking officers, committee chairs, and events for each school year.

Parliamentarian Ensures meetings follow proper procedures and the PTA bylaws. Advises on rules of order, helps resolve procedural questions, and presides over the annual elections. Responsible for submitting bylaws through official channels for review; revisions may be submitted as the need arises, at a minimum once every 5 years. This role is the final year of the 3-year leadership arc, positioned to advise both the President and EVP based on firsthand experience.

All Board Members Attend general PTA meetings (fourth Wednesday) and monthly board meetings (8:30 PM, second Wednesday) throughout the school year. Consistent attendance is expected. Provide input on the overall direction of the PTA, including feedback on events and programs. All board members share responsibility for ensuring the PTA operates within proper procedures and nonprofit guidelines; consult the CAPTA website for guidance as needed. Ideally, the board represents all grade levels at the school.

Standing Committees:

All Standing Committee Chairs Standing Committee Chairs are appointed by the President, not elected. Chairs are invited to participate in board meetings and receive a board vote.

Revenue Committee(3–5 members) Collaborates with chairperson for events that contain a fundraising element throughout the year. While event chairs plan the events themselves, Revenue manages the auction portion. Reaches out to local businesses for sponsorships and donations, to school families for donated experiences (community party hosts, sporting tickets, etc.) or items to include in auctions, and to teachers for grade-level parties. Sets up auction websites and lists buy-it-now items on the PTA store. Collaborates with ClassroomParent support on ticket sales for paid events. Ensures auction winners and purchasers receive their prizes and purchases are fulfilled (e.g., coordinating with front office staff to reserve front row seating for concerts).

Room Parents (1 per classroom + 1 chair) The chair of this committee solicits one representative from each class to serve as room parent. Provides guidance on the role and expectations. Maintains a "pamper profile" for each staff member to help guide gift-giving. Reminds room parents of important dates (e.g., when your teacher's birthday is coming up) and ensures room parents are not asked to perform duties outside their scope. Individual room parents publish and recruit volunteers for the classroom throughout the year, coordinate with the teacher about class parties, monitor the WhatsApp for their class or grade level, and collect a class fund used for teacher gifts and class parties.

Staff Appreciation Committee(2–4 members) Receives a budget from the PTA and is responsible for allocating those funds. Coordinates Staff Appreciation Week activities in May, focusing on school-wide events (avoid pushing responsibility onto room parents). Exact details are at the committee's discretion — examples include coffee carts, catered lunches, volunteer/donated lunch items, group experiences such as yoga classes, regular flowers or decorating of the staff lounge, and spirit wear for staff. Collaborates with PTA President and/or Principal to finalize schedules and determine what staff would most enjoy. Should become familiar with CAPTA hospitality guidelines — for example, no personal gifts or gift cards may be purchased with PTA funds. A committee rep also handles gifts for non-homeroom staff using separate funds collected in partnership with room parents.
